Price the preparation as well as the paint
Estimate painting labor by adding preparation, application, and cleanup person-hours. Application hours equal measured surface area × coats ÷ your production rate. Divide total person-hours by crew size for a working-time estimate, then price labor, separately rounded paint purchases, other costs, and markup.
The completed example: 15.5 person-hours, not 15.5 crew hours
The opening worksheet has 480 square feet of walls receiving two coats and 180 square feet of ceiling receiving one coat. Its productivity, labor, and material prices are fictional editable assumptions. They demonstrate the calculation; they are not recommended rates for painting contractors.

With two people assigned, 15.5 person-hours ÷ 2 = 7.75 crew working hours. That assumes the work can be divided usefully across the crew. It does not promise a same-day finish: drying, recoat requirements, access windows, and task sequencing remain separate calendar considerations.

Preparation entries should describe actual tasks: moving and protecting the listed furnishings, masking the defined surfaces, and preparing documented defects. Cleanup should name the removal of coverings, equipment cleanup, and restoration of the work area that the estimate includes. Allocate a shared task once; do not add the same room setup to every surface.
Measure paintable surfaces, then separate the purchase groups
Floor area and wall area are different measurements. In a separate measurement example, a 12-by-15-foot room has a 54-foot perimeter. At an 8-foot wall height, gross wall area is 432 square feet. If the estimator documents 52 square feet of openings to deduct, measured wall area becomes 380 square feet. The ceiling is 180 square feet. Measure the actual surfaces and state how deductions were handled.
Use separate rows for surfaces with different coat counts, application rates, or preparation needs. A primer and finish system may also need separate product rows. Set those inputs from the actual scope and product requirements rather than assuming that every surface needs the default number of coats.

Pooling those two products would round the combined requirement to four gallons, understating the whole-gallon purchase in this example. The tool groups identical product/finish/color names and rounds each group separately. Use the same name only when the surfaces can genuinely share supply; different colors or finishes need distinct groups.
Common assumptions, explicit limits
This worksheet uses one coverage rate, gallon cost, and extra material percentage across all groups. If products need different coverage or prices, run separate estimates and combine the verified results. Whole-gallon rounding does not optimize quarts, five-gallon containers, existing stock, or purchase discounts.
Sherwin-Williams' paint calculator guidance explains that product needs vary with application method and surface type or condition. Confirm the selected product's requirements; the example's 350-square-foot coverage input is not a specification for every coating.
Two rooms with the same area can require very different labor
Compare two additional fictional jobs with the same 480 wall square feet, two wall coats, and 180 ceiling square feet with one coat. The quantities match, but the documented work does not. The empty-room case assumes light preparation; the occupied-room case includes more protection and heavy preparation.

The additional occupied-room costs are assumptions for these cases, not a universal surcharge. The estimator must document what is being protected, which defects are included, how application is affected, and which costs belong in the other-cost line. A blanket square-foot price hides those decisions.

Crew size changes duration; markup changes price
Increasing the opening example from two people to three changes modeled crew time from 7.75 to about 5.17 hours. It does not reduce the 15.5 person-hours or the $496 labor cost at a common $32 loaded rate. More people do not make the same measured labor free; they change how it may be scheduled.
The model assumes a common loaded hourly labor cost. Enter the intended cost basis, including whichever labor burden your estimating process assigns. If crew members have different costs, use a documented weighted assumption or calculate those costs separately. Do not label a simple wage as fully loaded when it omits costs you intend the quote to cover.
A 25% markup adds $210.25 to that $841 cost, giving a $1,051.25 planning quote before any unentered tax. Markup is calculated on cost. Gross margin uses selling price as its denominator: $210.25 ÷ $1,051.25 = 20% on these entered costs. Neither figure proves net profit if expenses are missing.
Dollar inputs round to cents, then labor and paint charges round before the cost subtotal and final quote are reconciled. Labor hours retain their calculation precision even when the screen shows two decimals. Paint purchases round up by product group before material cost is calculated.
Describe the verified painting scope in the proposal-copy tool. Keep preparation, product selections, coat counts, included surfaces, and exclusions clear enough that the customer understands the result behind the total.
Replace the example rates with evidence from completed jobs
Compare like tasks
Separate walls, ceilings, trim, application method, and surface condition in your job records. An occupied room with detailed cutting-in is not automatically comparable to an empty open space.
Record the actual labor phases
Capture preparation, application, and cleanup person-hours separately. If two people apply paint for three hours, that is six application person-hours. Do not divide measured area by elapsed crew time and call it a person-hour rate.
Calculate and review the application rate
For a fictional completed task covering 600 square feet with two coats in 12 application person-hours, the observed rate is 100 coat-sq-ft per person-hour. Review comparable jobs and unusual conditions before adopting that input.
Keep estimate and outcome together
Save the measured scope, assumptions, purchase groups, planned hours, and actual result. A difference is a reason to investigate scope, access, measurement, or productivity rather than silently raising every rate.
When the homeowner changes the included surfaces or preparation after agreement, use the change-order builder to explain the altered work and credit anything removed. The estimator does not diagnose hazardous materials or determine remediation procedures; specialized work needs its own defined scope.

Questions about this tool
How do I estimate painting labor hours?
For each surface, divide area times coats by your application production rate, then add preparation and cleanup person-hours. Sum the surfaces. Calibrate rates from comparable completed jobs instead of treating the example as an industry benchmark.
Does a larger crew reduce the labor cost?
Not automatically. The same person-hours divided among more painters reduce modeled working duration, while person-hours and labor cost stay the same. Site constraints and drying time may prevent that ideal schedule in practice.
Why are gallons rounded separately by product or color?
Different products or colors cannot share the same purchased gallon. The tool groups matching product labels and rounds each group before adding the quantity. Its shared coverage and gallon-price assumptions should be checked for every group.
Is markup the same as profit margin?
No. Markup is added to the entered cost. Margin is the share of selling price remaining after those costs. This tool applies the entered markup and does not claim a final net profit because unentered overhead, taxes, or repairs may still apply.
